New Océ software helps offices control their document workflows

With this tool, many types of data, including scanned documents, images and applications can be converted to PDF format for easy editing, processing, searching, sharing and sending.

Performance and productivity
The Océ Document Management Tool 2.2 allows users to gain greater performance and productivity from their office. With the bundled Adobe® Acrobat® software, it is easy to create, edit and store documents within a PDF workflow. Electronic files can be converted into PDF files and then combined and distributed throughout an organization and opened or printed by any user with Acrobat Reader® software. With the Océ Document Management Tool 2.2 software, users can preview thumbnails of files without opening them, move documents or pages within documents and bind them for grouped transmission. Users can also enhance images, OCR text, attach email files or send and print while distributing data to others.
With the Océ Document Management Tool 2.2 software, users can leverage key functions of their Océ MFPs at their desktop. Mailboxes in Océ MFPs can be set up to receive documents, store files or pull files through to a user’s Océ Document Management Tool 2.2 workspace. In addition, Scan-to-Watch folders can be created with filters that correct for skewing, image quality and OCR conversion before they are received and converted to a file. Distributing, storing and altering documents is easy with the Océ Document Management Tool 2.2 software. When saving files, descriptive tags, markers, keywords or individual notes are stored in separate files so other users can open documents in their original form. In addition to working with text, the tool enables users to enhance images by editing and rotating, straightening, removing color backgrounds and more.
It is easy to access networked Océ MFPs, watch folders, TWAIN compliant scanning devices and email with the Océ Document Management Tool 2.2. With batch printing, linked application sharing, output in multiple formats and automatic data transfer, the software connects to most office devices. In addition, PDF files created by the tool can be directly transferred to another document management or information sharing application for smooth and efficient use of documents as information assets.
When sharing larger files, the tool can automatically set up a simple FTP server from a PC. Users can then post documents to the FTP folder for group access and control with password and log on security.
With an intuitive process for working with documents, choosing options and organizing workflow, the Océ Document Management Tool 2.2 software is a model of convenience. Key function tool menus can be displayed or hidden and Word, Excel® or PowerPoint® files can be converted into PDF files and registered by dragging and dropping them into a document folder.
To find documents with the Océ Document Management Tool 2.2, users can search based on text, bookmarks or annotations in PDF files, as well as filename, date of update and title, all in a single search operation. Workspaces can be easily organized in the main window, which includes areas for files, folders, document toolbar functions and an application launcher toolbar. With all of these features, Océ Document Management Tool 2.2 software gives users the enhanced empowerment, convenience and control needed to accelerate document workflows and get jobs done faster.
It is easy to keep confidential information secure with the Océ Document Management Tool 2.2 software. Password and watermark features along with security functions in the Adobe Acrobat software protect important data and communications. To further prevent unauthorized use and reduce the time required for circulating documents, digital signatures or department approval stamps can be added to files.
